Dear Potential Summer 2025 Enrichment Camp Instructor/Contractor:
We look forward to receiving your application to lead an Enrichment Camp this coming summer.
Please review the following requirements for instructors before submitting your camp application.
Before Camp Begins
· Demonstrate knowledge and experience with the subject matter of your camp session(s)
· Demonstrate knowledge and experience of working with children and youth
· Provide OST with references (not required for CSD teachers)
· Sign form allowing the City of Decatur to run a criminal background check, complete a drug screen
· Provide recommendations for the hiring of support staff that are a minimum of 18 years of age.
· Complete all required forms related to hiring
· Submit lesson plans in advance to E Camp Program Director
· Obtain CPR/First Aid Certification and complete Prevent Child Abuse training by the first day of camp
· Participate in mandatory Instructor Orientation before camp starts.
· Purchase supplies (Employee Instructors only) – Supply money is for activity supplies only. May not be used for food, gift cards, or merchandise. Reimbursable with original receipts only. Supply budget is $175 for camp of 10-12 campers with additional $50 for each additional 10-12 campers enrolled. No sales tax shall be reimbursed. All unused supplies purchased with city dollars are the property of the City of Decatur. Tax exempt form available upon request for approved purchases.
· Instructors provide any specialized equipment as needed for camper use
During Camp
· Arrive at 7:45 a.m. and begin providing engaging choice activities from 8 a.m. - 9 a.m. and theme program activities from 9 a.m. - 4 p.m.
· Provide and implement OST-approved behavior guidance and problem-solving techniques
· Participate in the E-Camp lunch supervision plan to allow for 30 minute lunch break per instructor daily
· Have an operational cell phone if at a site other than an DPRD site and while on field trips.
· Offer programs that are interesting and age-appropriate for children. Make learning FUN!
· Provide on-site leadership and supervision of campers (and support staff if applicable) at all times.
· Maintain a staff: child ratio of 1 adult to 12 campers at OST campsite with other adults.
Camps in the following areas have filled in the past two years:
Multi-Media Art – Fashion Design/Sewing – Photography – Science/Nature – Cooking – Foreign Language – Technology – Makers Activities – Film/Movie-making – Legos/Lego Robotics – Entrepreneurship – Drama/Theatre – Self-Care & Wellness – Games – International Cultures – Sports
OST encourages the following age divisions:
• Rising K-2nd graders
• Rising 3rd-5th graders
• Rising 3rd-6th graders
Camp hours: 8 a.m. – 4 p.m.
Instructor Compensation:
· Certified instructors are hired as OST employees at a rate of $30.00/hr.
· Non-certified instructors are hired as OST employees at a rate of $16.00/hr.
· If seeking camp employment as a contractor, please request Independent Contractor Application from OST.
Decatur OST will provide Employee Instructors:
· Promotion of Enrichment Camps in the December Camp Edition of the Playbook program guide
· Promotion of Enrichment Camps on camp posters, flyers, blogs, etc.
· Registration for camps
· Coordination of camp logistics and facility access
*E Camp Contractors will provide their own flyers for the camps they are offering
Employee Instructors must complete the following forms:
· Look for Camp Proposal Form link by September 23, 2024, on the City of Decatur Summer Camp webpage. (One per camp session to be offered)
· Authorization and Release to Obtain Information and Drug Screen (Completed at least 30 days before E Camps start date)
Employment is contingent upon the results of your background check and drug screen, your availability, qualifications and experience, and OST scheduling considerations (including a variety of camps and number of camps per week). The return date of completed package, preferred dates of camps, and flexibility will determine selection between two similar camps.

- January 6, 2025 – Vendor Packets sent to all E Camp Contractors

- February 21, 2025 – Deadline for E Camp Contractors to Submit completed Vendor Packets and Supporting Documents
March
- March 10-21, 2025 - HR will be contacting vendors/instructors to complete background and/or drug screen
- March 10-21, 2025 - Confirmation emails sent to instructors after background form is confirmed
May
- May 17, 2024 – E Camp Instructors/Contractors CPR/First Aid Training (If certified, please submit current certificates to E Camp Program Director)
- May 21, 2024 – E Camp Instructors Mandated Reporter Certification Due
- May 29, 2025 - 9am-12pm E Camp Instructor Orientation
- May 33, 2025 - E Camp Instructor Move-In 3pm-5pm or at scheduled time
June
- June 2-6, 2025 - First Week of E Camp
- June 19, 2024 – HOLIDAY! No Camp
- June 30 - July 4 - Last Week of Summer Camp (No Camp July 4)
